Senior Living Appointment Transport Board

Every resident appointment trip with its mobility needs and van, re-planned when a van goes off the road.

These images are illustrations of the concept, not screenshots of the actual product.

Overview

In senior living and home care, getting residents to the dentist, the eye clinic or a hearing test on time is a daily logistics job. This MoveTheWheels concept illustrates a Resident Trips board for a community's transportation coordinator. MoveTheWheels is built for moving goods, and this board is designed to carry resident appointment trips as scheduled runs on its vehicle, driver and route records, with each trip's mobility needs and any staff escort noted on it.

A community may run only one or two wheelchair-accessible vans, so when one fails its pre-trip check, a whole morning of appointments is at risk at once. The coordinator then has to work out which trips fit into the other van, which need an outside provider, who needs a wheelchair space or an escort, and which families to tell, often by phone and on paper.

The illustration shows the board under Routes for a chosen day, with a Book trip button. A timeline gives each van a lane with its number of wheelchair spaces, and a third lane for a transport provider from the marketplace. One van's lane is hatched and its trips shown in red, with a banner saying it is off road after a failed lift check. A proposed eye clinic trip sits in dashed outline on the provider lane. Below, a Trips to re-plan table lists each resident with an appointment time, the appointment, a mobility need such as wheelchair or walker, the escort, the proposal and a status of awaiting accept, accepted or scheduled, with Accept proposals and Print driver sheet buttons. A loaner shower chair delivery sits in the same table as a stop on the working van's route. Side cards show vans available today and when the other van is due back in service, how many families need an update with a Send trip changes button, and an exception for the open lift work order.

The concept works with AssetHandler by design. When AssetHandler marks a van off road after a failed pre-trip check and opens a work order, the board is designed to flag every trip on that van and propose moving each one onto the other van's gaps or an approved transport provider listed in the MoveTheWheels marketplace, for the coordinator to accept. The coordinator names any escort on the trip, and loaner equipment deliveries to home-care clients can sit on the same routes as stops. Within MoveTheWheels, the board draws on the fleet, route planning and the provider marketplace.

What this concept shows

  • Van lanes showing each vehicle's wheelchair spaces, plus a lane for a marketplace transport provider
  • An off-road banner on a van after a failed lift check, naming an AssetHandler work order
  • Trips on the off-road van shown in red, with a proposed provider trip in dashed outline
  • A trips to re-plan table with appointment, mobility need, escort, proposal and status
  • Accept proposals and Print driver sheet actions
  • A loaner equipment delivery handled as a stop on a van route
  • A vans today card with the return-to-service time for the off-road van
  • A family notices card with a Send trip changes action

How it works

  1. Book resident trips for the day, each with its appointment, mobility need and any escort.
  2. When AssetHandler records a failed lift check, the van is marked off road and its trips are flagged.
  3. Review the trips to re-plan, each with a proposal to move it onto the other van or an approved transport provider.
  4. Name an escort where one is needed and accept the proposals.
  5. Send trip changes to the families who need an update.
  6. Print the driver sheet, including loaner equipment stops on the same route.

Who it's for

  • Senior living transportation coordinators
  • Resident services directors
  • Community van drivers
  • Home care equipment coordinators
  • Senior living operations managers

Resident Trips with a Van Off the Road

Resident trips re-planned onto another van or a transport provider when a van fails its lift check.

This illustration shows a light-themed Resident Trips page for one sample community, with Routes selected in the sidebar, a date picker and a Book trip button. A timeline from morning to mid-afternoon has lanes for two vans, each with two wheelchair spaces, and a Transport provider lane from the marketplace. The first van carries a dentist trip and a pharmacy run. The second van's lane is hatched, its dentist, eye clinic and hearing test trips in red above a banner: off road after a failed lift check, with an AssetHandler work order. A proposed eye clinic trip sits in dashed outline on the provider lane. A Trips to re-plan table lists resident and time, appointment, mobility, escort, proposal and status, including a loaner shower chair delivery as a van stop, with Accept proposals and Print driver sheet buttons. Side cards show vans available, family notices with a Send trip changes button and a lift work order exception. All data is sample data.
