Service Van Stock and Nightly Restock Board

Every service van run as a small stockroom: parts used on each job, parts that never reached a work order, and a nightly restock list.

Overview

In field service and the trades, many calls are fixed with a handful of parts carried on the van: igniters, flame sensors, capacitors, contactors, valves and breakers. This MoveTheWheels concept illustrates a Van Stock board that manages each service van as a small stockroom, with a minimum quantity for each of those parts, so the shop can restock every van overnight and technicians leave in the morning with what they need.

Two things tend to go wrong without it. Vans run out of the part a job needs, which turns a one-visit fix into a return trip. And parts leave the van without ever reaching the work order, so they are never billed and the stock count drifts away from what is really on the shelf.

The concept is designed to work with two other Burdenoff products. Work orders are designed to be held in AssetHandler: the phone shows the parts and labor already on the job, marked as from AssetHandler, and a part added there is designed to go onto that work order in one step. When an AssetHandler work order closes, a FluidGrids automation is designed to compare its parts lines with the parts scanned off the van for that job and list any gap, so the part can be added before the invoice goes out. Within MoveTheWheels, the board sits under Inventory, and the phone carries the same Deliveries, Map, Scan and Profile tabs as the driver app.

How it works

  1. On the job, the technician scans the part on their phone and picks the job and its work order.
  2. The technician sets the quantity, sees what will be left on the van and adds the part to the AssetHandler work order.
  3. When the van falls below its minimum, the part is added to tonight's restock.
  4. As each AssetHandler work order closes, FluidGrids checks it against the parts scanned for that job and lists any gap.
  5. The service manager adds missing parts to the work order or reopens a work order closed without parts.
  6. At the end of the day, the shop prints the restock pick list and picks each van's parts.

Use a Part on a Job from the Van

Scan the part, pick the job and quantity, and add it to the work order as the van's restock updates.
